VERBAL ANNOUNCEMENTS HOW TO
Requirements:
1. 30 Days Sobriety
2. You can use your phone if you can pull up the file ACTverbalannouncements. In some cases, the person posting chat announcements can post it in chat for you to read, but you need to make arrangements with that person so they know to help you out BEFORE THE MEETING starts
What you will be doing:
1. You will be reading the verbal announcements when the chair calls on you
INSTRUCTIONS:
1. Have the file ACTverbal announcements open or printed ready to read from
2. Read the verbal announcements to the group when the chair calls you
POINTERS:
If you have a printer, print off the announcements. If you are on your phone, you can save the file or even take a pic of it and read from that.
It’s a good idea to be ready with what you read from at the beginning of the meeting. You will usually know the day before if you will be the verbal announcement person for the day. Right now, there is a schedule for the days but you should check the service WhatsApp link in case someone is requesting you on a day that isn’t normally your day.
You can feel free to bring your own personality to the reading so long as you say the important stuff on the document.
Requirements for service:

2. A laptop is recommended
What you will be doing:
You will be using the file named ACTchatannouncements from the Travelers Folder
You will be copying and pasting from this document to the chat in meeting
INSTRUCTIONS:
1. Open the file ACTchatannouncements ( I keep this file open and just minimize it when not in use, this puts in in the tool banner at the bottom of your screen then you can access it when needed by hovering your pointer over the word document)
2. Copy the first paragraph from the document by holding down left mouse button and scrolling over the words until they are highlighted.
3. Once they are highlighted, click the right mouse button and when the menu appears choose copy
4. Now go to the chat and be sure to be posting to everyone in meeting This is done in the chat where you see the blue box above where you type, always check you have chosen everyone in meeting.
5. Right click the mouse and choose paste, you should see the text in the box for chat, then click enter to post to the chat.
6. Continue going to the document and highlighting the next section of text, copy it and paste it in the chat.
POINTERS:
Post the first paragraph, the meeting schedule at the beginning of the meeting as the chair is saying good morning. Then you can follow along as the chair talks and post the appropriate paragraphs to correspond with what they are saying.
You will post at the beginning of the meeting . I recommend that you post some key things , such as the WhatsApp , the 7th tradition and the travelers email toward the end of the meeting as well. Remember late joiners don’t always see the post the first time.
I also pull up the document ACT verbal announcements and I will post those in chat as the verbal announcements are being read. This helps people see our email address the WhatsApp link and the email for celebrations. I recommend doing this if you are posting chat announcements as well.

2. You must be on a laptop
What you will be doing:
You will be watching the meeting and asking people to unmute when the chair calls their name
You will be lowering their hand when they start speaking
You will be making sure they are muted again when finished speaking.
INSTRUCTIONS:
1. You must be co-hosted to do this position
2. When you hear the chair call someone’s name, locate that person, usually with a hand up. Go to the top right of their zoom box and right click your mouse on the 3 dots. You will see options pop up in a side box. Choose ask to unmute and right click it ONCE This sends the person a message to ask them to unmute.
3. Once the person is unmuted, go to the same 3 dots in the right corner of their zoom box and right click. Choose the option lower hand and right click your mouse.
4. When the person is finished speaking, be sure to mute them again. Hover the right side of their box and if it says unmuted, right click that and it will mute them.
POINTERS:
Sometimes a chair may go out of order with the hands they call on, listen to the chair and be sure to unmute the name they call.
It is important to only ask to unmute ONCE. If they are having trouble unmuting they will let us know. Then and only then you may have to ask to unmute again. If you hit the ask to unmute more than once, it only takes away the persons ability to click yes to unmute.
It is very important to be sure the person gets muted again when they are done speaking, most people do not mute themselves so you need to do so for them. Background noise disrupts the nest person sharing and the whole meeting.
Requirements:

What you will be doing:
You will be keeping the meeting safe from bombers (people who are disrupting the meeting and shouldn’t be there)
You will be watching all the squares closely, especially at the beginning of the meeting for people who post unacceptable things in the chat or show unacceptable pics in their zoom square.
INSTRUCTIONS:
1. You have to be a co-host to do this service position.
2. You need to open both the participants list and the chat. I set my zoom view to show these both stacked to the right side of my screen. If you need help with that setting ask someone)
3. If a person is a bomber:
a. Go to the 3 dots on their zoom square in the upper right corner of their box and left click with mouse. This will open a drop box of options. Left Click on remove participant.
b. Go to the participants list and when someone is talking you will see a microphone icon following their name if they are talking, left click the 3 dots next to their name, a drop down appears, choose remove by right clicking on it and the person will be ejected from the meeting.
c. As a co-host, you will see a shield at the bottom of your zoom screen. It is not there if you are not co-hosted. You can left click this shield and a drop-down box will appear. Near the bottom of the list, you will see remove participant . When a person is speaking, usually the perimeter of their box turns yellow, if you click remove participant from here it will remove any box that is yellow. I don’t use this area very often because you could throw out someone who is also talking and not the bomber.
QUESTIONS AND CONCERNS HOW TO
REQUIREMENTS:
1. Regularly attend our meetings. No length of sobriety is required
2. A laptop is highly recommended or you have to be very good on your phone with chat
What YOU will be doing:
1. You will be watching the chat for anyone sending you a question or a concern.
2. You will be responding to the chat with the best answer possible.
3. You are helping the chairperson who has enough to do while running the meeting. The chair has little time to respond to chat in a timely manner, so this position helps out immensely.
4. You will monitor shares to keep them around 3 minutes so everyone has a chance to share. You will use the timer and keep camera on so timer is visible to meeting attendants INSTRUCTIONS
1. You need to be co-hosted for this position. While chat is turned off, only a co host or host can be texted by people attending the meeting.
2. Be sure you have chat open throughout the meeting.
3. Watch chat often so you can respond to someone as soon as possible. If you attend this meeting, you will know the answer to most things you are asked.
4. If you don’t have the timer app, please ask someone to send it to you before the meeting begins.
POINTERS:
We ask that anyone of service please come at least 10 minutes before meeting starts so the host can get things set in advance
Keep your eye on that chat. People are impatient so try to answer them quickly. Other wise they will reach out to the host, who usually has a different job or to the chair who is trying to stay focused on the meeting.
If you don’t know how to respond, ask someone in the meeting who may be able to help you. Tell the person asking that you will be back with them in just a minute. You can also give them the email and ask them to direct the question to that email and they will get a response.
Be polite. Even if you get a stupid question try to be nice. Many people are new to AA and to zoom. Be helpful. Its good for you!
If it’s a bomber asking what size your bra is remove them immediately Or text someone on bomber patrol and ask them to remove the person.
